Cancellation & Refund Policy

Our concierge service fee is quoted individually based on the support you need. You will receive the fee and a list of included services in writing before making any payment.

Payment is due when you approve the proposal, before we begin paid coordination work.

If you cancel before that work begins, the concierge fee is fully refundable. After work begins, we refund the portion paid for services we have not provided. Any authorized, nonrecoverable third-party charges will be identified separately.

A deposit is required only if your written proposal says so. The proposal will state the amount, due date, what it covers, and its refund terms before you pay. We do not have a standard deposit amount or due date.

A deposit paid toward K-Med Aesthetics' concierge services is fully refundable if you cancel before paid coordination work begins. Once work begins, we refund the portion covering services we have not provided.

Deposits paid to a clinic or other provider follow that provider's cancellation terms, which we share before you authorize payment.

Clinic and hospital fees follow the provider's own cancellation terms. K-Med does not control provider refunds.

We share the applicable provider terms with you before you authorize any payment. If you request a provider refund, we will assist by communicating your request to the provider, but the decision and any refund amount rest entirely with the provider.

Flights, hotels, and transportation are subject to the terms of the airline, hotel, or transportation company. K-Med does not control their refunds or change fees.

We will share the applicable terms before you authorize a booking, and any nonrecoverable third-party charges will be identified before payment.

We do not currently have a fixed cancellation deadline or a standard late cancellation fee. You may cancel K-Med Aesthetics' concierge services at any time by notifying us in writing.

We will refund the amount paid for services we have not yet provided, subject to any authorized, nonrecoverable third-party charges disclosed before payment.

Clinics, hospitals, hotels, and other providers may set their own cancellation deadlines and fees. We will share the applicable terms before you authorize a booking. We will not apply any fixed deadline or percentage fee unless it is expressly included in the written proposal you accept.

Some third-party expenses may be non-refundable once booked — for example, airline tickets, hotel reservations, or provider payments under that provider's cancellation terms.

Before you authorize any booking or payment, we will identify which charges may be nonrecoverable. These charges are listed separately and are not covered by K-Med's refund commitment.

Approved refunds are issued to the original payment method whenever possible. K-Med Aesthetics initiates the refund within 10 business days after confirming the refundable amount. Your bank or card provider may take additional time to post it.

If the original payment method is unavailable, we will agree on another method with you in writing.

Please request a date change in writing as early as possible. K-Med Aesthetics does not charge a standard rescheduling fee.

If coordination work must be repeated or additional support is needed, we will quote that cost and obtain your approval before doing the work.

New dates depend on provider availability. Any clinic, hotel, transportation, or other third-party change fees follow the terms disclosed for those bookings. We will tell you the available dates and total change cost before confirming a new schedule.

If events outside anyone's control — such as natural disasters, travel restrictions, or public health emergencies — prevent us from providing services, we will refund the amount paid for services we have not provided.

Third-party bookings made under those circumstances follow the cancellation terms of the airline, hotel, clinic, or other provider, which we will share before you authorize the booking.

To cancel your concierge services or request a refund, contact us in writing by email at info@k-medaesthetics.com. Please include your name, the service or booking involved, and the reason for the request. We will confirm the refundable amount before processing.
